TITLE The name of the club is Eynsham Roadrunners. HEADQUARTERS The headquarters of the club is at the White Hart, Newland St, Eynsham (or another venue determined by the Committee) OBJECT The object of the club is to promote amateur running. MANAGEMENT The management of the club is vested in a committee comprising a Chairman, a Vice Chairman, an Honorary Secretary, an Honorary Treasurer, and at least 6 other members, all to be elected annually. The committee has the power to fill any vacancy that may arise. A quorum will be more than 50% of the committee membership. MEMBERSHIP Membership of the club is confined to Amateurs, as defined by UK Athletics in the Rules for Competition Handbook. A candidate for membership must submit an application form, and be proposed by one member, seconded by another, and elected by ballot at a Committee meeting. RESIGNATION A member intending to withdraw from membership must notify the Honorary Secretary, preferably in writing, and membership will cease from that time. Anyone who fails to renew his or her annual subscription by 1 May following the Annual General Meeting, will automatically be deemed to have resigned unless the committee decides otherwise. When membership is terminated in this way, the Secretary will write to the person at their last known address and their name and address has to be sent to the South of England AA who will record the details in the Suspension Book. Under the affiliation rules, such people may not compete in any meeting held under UK Athletics Rules until membership is re-instated with Eynsham Roadrunners, or they are accepted into membership of another affiliated club. SUBSCRIPTION The annual subscription will be decided by a majority vote at the Annual General Meeting. Currently it is £10 per year for individuals, £5 for juniors and £25 for family membership. Subscriptions become payable no later than the end of February. After that date, no member may compete in a club championship event until the subscription is paid. ANNUAL GENERAL MEETING A General Meeting will be held in late January or early February every year, to receive the Committee’s reports and financial statements, elect officers and committee members, and deal with any other matter specified on the agenda. The Honorary Secretary must give 21 days notice of the meeting. If any member wishes to place an item of business on the agenda, the Hon Secretary must be informed least 14 days prior to the meeting. A quorum will be at least 30% of the adult membership. SPECIAL GENERAL MEETING A Special General Meeting must be called by the Honorary Secretary within 14 days of receipt of a written request signed by at least 10 members of the club, stating what business is to be brought before such a meeting. Notice for a Special General Meeting will be not less than seven and not more than 35 days. A quorum for a Special General Meeting will be 40% of the adult membership. ALTERATION OF RULES No alteration or addition may be made to this constitution except by an AGM, or a Special General Meeting called for that purpose under one of the two preceding paragraphs.
